City Books, LLC (“City Books,” “we,” “us,” or “our”) provides outsourced accounting and financial reporting services to community associations and community association management companies. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have. It applies to citybooksfinancials.com (the “Site”) and to our communications with you by phone, email, and text message.

Information we collect

• Contact details you give us. Your name, email address, phone number, and company name.
• Messages and requests. What you send through our contact form or callback request, and details you provide when you schedule a call.
• Text messaging records. If you opt in to text messages: your mobile number, a record of your opt-in (the date and time, the page it came from, and the wording you agreed to), and the messages we exchange with you.
• Technical and usage data. IP address, browser and device type, pages viewed, referring page, and approximate location, collected through cookies and similar technologies. Analytics data is collected only after you accept analytics cookies. See Cookies and analytics below.
• Client information. If you become a client, the financial and association records you give us to perform our services are also handled under your client agreement.

How we use information

• To respond to your inquiries and return callback requests.
• To schedule and hold calls and meetings.
• To send text messages you have opted in to receive.
• To provide, maintain, and improve our services and the Site.
• To understand how the Site is used, through analytics you have accepted.
• To protect the Site and our business from fraud, abuse, and security threats.
• To meet legal, tax, and regulatory obligations.

Text messaging (SMS) and SMS Terms and Conditions

If you check the optional box on our contact form and provide a mobile number, you agree to receive text messages from City Books about your inquiry, call scheduling, and service updates. Agreeing to receive text messages is optional. It is not required to contact us or to purchase anything.

Upon messaging opt-in, the end user agrees to receive messages from City Books regarding your inquiry, call scheduling, and service updates. End users can opt out by replying STOP or request more information by replying HELP. Message frequency varies. Message and data rates may apply. How we share information

We share personal information only in the limited ways described below. We do not sell personal information.

• Service providers. Companies that help us operate our business and the Site, such as website hosting, contact form processing, scheduling, customer relationship management, telephone and messaging, email, and analytics providers. They may use the information only to perform services for us.
• Professional advisors. Our attorneys, accountants, insurers, and similar advisors, where needed to run and protect our business.
• Legal and safety reasons. Courts, government authorities, or other parties when required by law or legal process, or when needed to protect the rights, property, or safety of City Books, our clients, or others.
• Business transfers. A successor or buyer in connection with a merger, financing, acquisition, or sale of all or part of our business.

Cookies and analytics

The Site uses Google Analytics to understand how visitors use it. Analytics cookies are off by default. They are turned on only if you select Accept on the cookie banner, and you can select Decline instead. Your choice is stored in your browser. To change it, clear this Site’s data in your browser settings and the banner will appear again. You can also block or delete cookies in your browser settings. The Site also loads fonts from Google Fonts, which means Google receives your IP address and browser details when a page loads.

Data retention

We keep personal information for as long as needed for the purposes in this policy, including to keep records of your text message opt-in, resolve disputes, and meet legal obligations. When we no longer need it, we delete or de-identify it.

Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

• Text messages. Reply STOP to any message to opt out. You will receive a confirmation and no further texts unless you opt in again.
• Calls and email. Tell us if you do not want to be contacted by phone or email and we will honor the request.
• Access, correction, and deletion. Depending on where you live, you may have the right to ask us to access, correct, delete, or provide a copy of the personal information we hold about you. To make a request, call 704-312-8281 or use our contact page. We may need to verify your identity before we respond, and we will not treat you differently for making a request.

Children’s privacy

The Site is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.

Third-party sites and services

The Site links to third-party services, such as Calendly for scheduling. Those services have their own privacy practices, and we are not responsible for them.

Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top shows when it was last changed, and we will post any updates on this page.
